Governing Council - Role Definitions

President

Authority and Responsibility : Provide leadership to the Board of Directors or GC. The President is one of three signing officers along with Treasurer and Vice President.

Current Leader 

Requirements:

  • Be a member in good standing of ICF
  • Have an ICF credential (ACC, PCC, MCC)
  • Have an active coaching practice (internal or external)
  • Reflect the spirit, training, credentials and integrity of the coaching profession

Term: 2 years

General Duties:

  • Act as the primary liaison with ICF Global.
  • Participate on Chapter Leader Calls and ICF Global calls, and other committees as required.
  • Ensure that the membership and the Executive are informed about, and current on, ICF Global initiatives.
  • Stay abreast of all new developments at the Global ICF level, i.e. accreditation requirements and processes, chartered chapter annual filings, new regulations, etc.
  • Act as primary contact with other members of the GC and support them, when needed, as they fulfill their portfolio duties.
  • Chair all ICF Pune Chapter events including monthly Saturday Chapter meetings, special events and the annual general meeting.
  • Maintain contact with our members through President’s messages and other communication as required.
  • Represent the Chapter in the larger community and act as chapter spokesperson with the media and other organizations.
  • Spearhead the succession planning process and sustainability of the Chapter’s leadership.
  • Hold and implement the strategic intents for the association with the GC, membership, and others outside the organization.
  • Attend monthly GC meetings and other related meetings (e.g. strategic planning) as necessary.

Vice President

Authority and Responsibility: The Vice President shall assist the President, assume the duties of the President in his/her absence, be responsible for the Bylaws of the society and perform such duties and have such authority as from time to time may be assigned by the President or the Board. The Vice President is one of three signing officers, along with the President and Treasurer.

Term: 2 years

General Duties:

  • Assume the responsibilities of the President in his/her absence.
  • Hold the overview/big picture with the President of what’s going on with ICF Pune Charter Chapter, the GC and the membership.
  • Stay abreast of new information, emerging trends, vision, strategic objectives of ICF Global and updates the board on critical areas of interest to the members.
  • Partner with the President on strategy, visioning, and brainstorming.
  • Actively support fulfillment of short-term goals and the long-term strategic plan, providing backup and ensuring follow-through.
  • Solicit input and create agenda for each GC meeting.
  • Remain up to date with the Policies & Procedures Manual and the Bylaws, and guide revisions as the board grows and evolves.
  • To be responsible for planning and implementing outreach and community development programmes in Pune and in the satellite cities of Nasik, Aurangabad, Nagar and Kolhapur.
  • Attend monthly GC meetings and other related meetings (e.g. strategic planning) as necessary

Secretary

Authority and Responsibility: To record and maintain the current filing of the Board Proceedings of the ICF Pune Chapter as well take a lead in the membership drive working closely with the Director, Memberships.

Term: 2 years

General Duties:

  • Capture and retain copies of important communications, correspondence and documents, including the Y/E financial statements, and keep in the appropriate recording file for others to access and view. The file shall include meeting agendas, minutes, policies and procedures, Board decisions, guidelines, financial reports and any other proceedings of the Board and society membership
  • Arrange for mailings of official correspondence or other correspondence as requested or needed. Provide ICF Global, on an annual basis, with current and updated copies of Chapter bylaws, Chapter policies and procedures, and a list of the Chapter’s Board of Directors, officers, and staff, including relevant contact information and other documentation as directed by the Chapter President.
  • Work closely with the Director Memberships to lead the membership drive and meet the membership targets as set by the GC.
  • Responsibility to maintain files in Dropbox and ensure Process documentation/ Chapter Binder is up to date for all directors.
  • Attend monthly executive meetings and other related meetings (e.g. strategic planning) as necessary.

Treasurer

Authority and Responsibility: The Treasurer is responsible for the chapter’s official financial transactions, keeping accurate books of the accounts, and ensuring that all financial yearend statements and review of the books of the society are completed. The Treasurer shall present a Financial Report to the board at its meetings. The Treasurer is one of three signing officers.

Term: 2 years

General Duties:

  • Responsible for depositing cheques and cash collected at meetings and events.
  •  Support programming and events by coordinating payment for expenses for breakfast meetings, lunch and learn meetings, and other events and activities as required.
  • Responsible for payment of bills and invoices for the Chapter.
  • Liaison with the CA Firm regarding an exchange of bookkeeping items.
  • Provide a Treasurer’s report based on Bank Statement and Financials from CA Firm.
  • Produce Budget document and present to Board for approval two times per year (April and September), including actuals for first half year.
  • Responsible for annual filings for the Chapter.
  • Attend monthly executive meetings and other related meetings (e.g. strategic planning) as necessary.

Director, Programs

Authority and Responsibility: With support and agreement of the Board, plan monthly member events and manage budget for break-even or profitability on each event.

  • Reflect the spirit, training, credentials and integrity of the coaching profession

Term: 2 years

General Duties:

  • Plan a balanced program for ICF Pune Chapter monthly events, designed to provide personal and professional development opportunities for members.
  • Source guest speakers for monthly Saturday Chapter meetings and special meetings, according to the speaker guidelines and criteria, and ensure that speakers deliver value and uphold the profession of coaching.
  • Coordinate event information with the Director of Communication and IT services, Director of Special Events and Partnerships to ensure that members are aware of, and have time to plan for, attendance.
  • Apply to ICF for CCE’s for each session at least two weeks in advance.
  • Coordinate logistical site information with the venue, including projector, microphone and sound system, ICF banners, room set up, headcount confirmation.
  • Support the speaker – confirming headcount (so they know the size of their audience), determine audio and visual needs, support with handouts. Introduce speaker at the meeting, thank speaker at end of meeting and present “Thank You” card and honorarium. Announce upcoming events and other related announcements (special events).
  • Responsible of creating and leading a team of volunteers from the chapter who support the Director.
  • Attend monthly executive meetings and other related meetings (e.g. strategic planning) as necessary.

Director, Communications

Authority and Responsibility: With support and agreement of the Board, communicate the strategy and vision and messaging for the Pune Charter Chapter.

General Duties:

  • Take the lead in developing and upholding guidelines for communication on all types of media.
  • Responsible for strategizing and planning all communication requirements of the chapter
  • Manage social media accounts (Linked In, Facebook and Twitter).
  • Supervise work by contractors if any.
  • Responsible for creating and leading a team of volunteers from the chapter who support the Director
  • Attend monthly GC meetings and other related meetings (e.g. strategic planning) as necessary.

Director, Memberships

Authority and Responsibility: Promote ICF Pune Charter Chapter events and activities and the profession of coaching.

Requirements:

  • Be a member in good standing of ICF
  • Have an ICF credential or working towards (ACC, PCC, MCC)
  • Have an active coaching practice (internal or external)
  • Reflect the spirit, training, credentials and integrity of the coaching profession.

Term: 2 years

General Duties:

  • Develop strategies to promote ICF Pune Charter Chapter events and activities including professional development programs (e.g. breakfasts, lunch and learns and webinars); campaigns to promote professional coaching to external organizations and to the public; annual membership drives and special events including coaching week, conferences and Western Region activities.
  • Write and distribute newsletters and bulletins, approximately 2-4 per month, which excite participation in the Chapter and drive event attendance.
  • Develop and execute an annual campaign to promote membership renewals and sell Community Memberships, in partnership with the Director of Communication Services and the Director of Membership.
  • Enhance the profile of the profession of coaching in Pune by working with other Board members to coordinate media appearances, publishing of articles, displays and other high-profile activities.
  • Design and produce displays and printed materials for use by the Chapter for promotions, events, and activities.
  • Responsible of creating and leading a team of volunteers from the chapter who support the Director.
  • Attend monthly executive meetings and other related meetings (e.g. strategic planning) as necessary.

Director, Special Events & Partnerships

Authority and Responsibility: With support and agreement of the Board, plan special events/ the Pune Chapter annual conference and manage the budget for break-even or limited excess over expenses, on each event.

Term: 2 years

General Duties:

  • With support from the GC, responsible for conceiving and executing special events for the Pune Charter Chapter. Special Events are considered those above and beyond the monthly chapter meetings and webinars. The Director Special Events and the Director Programming collaborate to ensure the success of all programs organized by the Chapter.
  • Special Events are designed to accomplish a number of goals. Each event may contribute to the achievement of all or some of these goals, depending on the particular event:
  • Provide opportunities for the ongoing continuing educational and professional development of the membership
  • Provide a forum to advance the understanding and promotion of the field of coaching in Pune and in the satellite cities of Nasik, Nagar, Aurangabad and Kolhapur as well in the business community and the community at large.
  • Provide needed funds to ensure the financial viability of the Chapter
  • Responsible to secure appropriate approval of the Board before making any business or financial commitment on behalf of the Board to a particular speaker or venue. This also involves preparing detailed forecasts and budgets for such events. Ideally, each event is planned with a view to making a profit for the Chapter to offset ongoing operating costs and will not unduly expose the Chapter to a high degree of financial risk.
  • The target is to hold at least one large event and two special events per year. The intention of these special events is to engage ICF members, non-member coaches, and the general public. The Director of Special Events does not necessarily need to chair these events but is responsible to oversee each project.
  • Responsible of creating and leading a team of volunteers from the chapter who support the Director.

Director, Technology

Authority and Responsibility: With support and agreement of the Board, provide inputs on technology and manage the website for the Pune Charter Chapter.

General Duties:

  • Responsible for creating and maintaining a highly professional website that is routinely updated and refreshed.
  • Manage and uphold advertising standards on the website.
  • Supervise work by contractors if any.
  • Manage the underlying systems that keep the Chapter’s membership list up to date in a central spreadsheet and on WhatsApp, website and email service.
  • Responsible for creating and leading a team of volunteers from the chapter who support the Director
  • Attend monthly GC meetings and other related meetings (e.g. strategic planning) as necessary
